Description Excellent opportunity for a seasoned administrative professional to provide direct support for a Managing Director, Global Co-Head of Fixed Income IT, based in New York.

Duties include but are not limited to:
• Managing extensive telephone activity for Managing Director
• Maintaining daily calendar, scheduling all meetings and conference calls (internal & external)
• Coordinating all travel arrangements & itineraries
• Organizing meetings, events and conference calls with Sr. Management both globally & locally
• Arrange meeting rooms and video conferences
• Prepare, proof and process travel expenditures for managers and file
• Arrange logistics for new hires, including desktops, access cards, accounts, etc…
• Maintain inventory of all desktop equipment
• Process department invoices
• Administer the Timetracker system and departmental consultant timesheets
• Assist with team recruitment process by coordinating resume distribution and interview scheduling
• Maintain vacation and training reports
• Producing spreadsheets and presentations in Excel and PowerPoint
• Organizing agendas and all materials for meetings
• Maintain Organizational charts
• Ordering office supplies, maintaining department equipment and initiating equipment purchases
• Maintaining contact information for key departmental staff
• Assist with additional projects as needed
• Able to interact with other administrative assistants on all levels of the organization.

Other duties include:
• Collate project status and develop the appropriate communication and reports
• Administer the financial budgets
• PMM and TT4 compliance reports and tracking
• Workpackage entry and extensions
• Invoices: Coding, signoffs, file management and submission to Accounts Payable
• Assist with additional projects as requested

Requirements • Minimum 3 years of Senior administrative support experience.
• Minimum 3 years experience using MS Word, Excel, PowerPoint and Outlook.

Preferred Qualifications • Strong verbal and written communication skills & ability to interact comfortably with individuals at all levels
• Excellent follow-up skills, organization skills and ability to manage multiple tasks
• Must possess strong attention to detail
• Understand corporate policies and ensure that they are followed.
• Hours for this position 7:00 - 5:00, overtime as necessary
